Information on data transfer to the USA and other non-EU countries

Among other things, we use tools of companies domiciled in the United States or other from a data protection perspective non-secure non-EU countries. 8. Online-based Audio and Video Conferences (Conference tools)

Data processing

We use online conference tools, among other things, for communication with our customers. The tools we use are listed in detail below. If you communicate with us by video or audio conference using the Internet, your personal data will be collected and processed by the provider of the respective conference tool and by us. The conferencing tools collect all information that you provide/access to use the tools (email address and/or your phone number). Furthermore, the conference tools process the duration of the conference, start and end (time) of participation in the conference, number of participants and other “context information” related to the communication process (metadata).

Furthermore, the provider of the tool processes all the technical data required for the processing of the online communication. This includes, in particular, IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or loudspeaker and the type of connection.

Should content be exchanged, uploaded, or otherwise made available within the tool, it is also stored on the servers of the tool provider. Such content includes, but is not limited to, cloud recordings, chat/ instant messages, voicemail uploaded photos and videos, files, whiteboards, and other information shared while using the service.

Please note that we do not have complete influence on the data processing procedures of the tools used. Our possibilities are largely determined by the corporate policy of the respective provider. Further information on data processing by the conference tools can be found in the data protection declarations of the tools used, and which we have listed below this text.

Purpose and legal bases

The conference tools are used to communicate with prospective or existing contractual partners or to offer certain services to our customers (Art. 6(1)(b) GDPR). Furthermore, the use of the tools serves to generally simplify and accelerate communication with us or our company (legitimate interest in the meaning of Art. 6(1)(f) GDPR). Insofar as consent has been requested, the tools in question will be used on the basis of this consent; the consent may be revoked at any time with effect from that date.

Duration of storage

Data collected directly by us via the video and conference tools will be deleted from our systems immediately after you request us to delete it, revoke your consent to storage, or the reason for storing the data no longer applies. Stored cookies remain on your end device until you delete them. Mandatory legal retention periods remain unaffected.

Handling Applicant Data

We offer you the opportunity to apply to us in various ways (e.g. by online application form, by email to karriere@feig.de or by post). The following will inform you about the scope, purpose and use of your personal data collected during the application process. We assure you that the collection, processing and use of your data takes place in accordance with applicable data protection law and all other statutory provisions and that your data will be treated with the utmost confidentiality.

Purpose & Legal Basis of Data Processing

FEIG ELECTRONIC GmbH requires your personal data to process your application. The data that you transmit to us in the course of your application will only be used and processed for the purpose of selecting applicants.
The legal basis for this is Article 6 Paragraph 1 Letter b GDPR (necessity of data processing for the initiation of a contract) and Article 88 GDPR in conjunction with Section 26 Paragraph 1 Clause 1 BDSG (necessity of data processing for the decision to establish an employment relationship).

Type & Scope of Data Processing

If you send us an application, we will process your associated personal data (e.g. name, contact and communication data, information on your educational/professional history, other information within the application documents). We only process data that you have transmitted to us yourself or made publicly accessible.
When applying online, you enter your personal data yourself in the application form provided for this purpose. After completing the online application process, we will send a confirmation message to the email address you provided. The data you entered will then be sent in encrypted form by the website host to the servers of FEIG ELECTRONIC GmbH and entered manually in our recruitment system.
In the case of an email application, we manually record all relevant data in our recruitment system and upload your documents there including your email. Your email will then be deleted from our mailbox.
If you apply by post, we will scan your application documents and upload them to our recruitment system. Your original documents will be returned to you after completing the application and selection process.
We will process your data manually, irrespective of the chosen form of application. There is no automated decision-making with the aim of automatically evaluating certain personal aspects (profiling within the meaning of Article 22 GDPR).  

Recipient of the Data

Within our company, your personal data will only be passed on to people who are involved in processing your application. Depending on the form of application you have chosen, external service providers may also have access to your data, for example for the purpose of technical preparation or for support purposes. We have entered into data processing agreements with all service providers involved in the processing of your personal data in accordance with Article 28 GDPR, to ensure the secure handling of your personal data. When forwarding data to a third country, we ensure that the requirements of Article 44 et seq. GDPR are met. If an adequacy decision applies for the third country in accordance with Article 45 GDPR or the recipients of the data are listed in the Data Privacy Framework (DPF), we shall rely on this. Otherwise, we usually use EU standard contractual clauses in accordance with Article 46 Paragraph 2 Letter c GDPR. Automated decision-making within the meaning of Art. 22 GDPR is not employed.

Data Retention Period

Your data will initially be stored on our servers for the duration of the application and selection process. For technical reasons, the data you enter or upload during the online application will also be retained by the website host for a period of 10 days – from the date of entry or upload by you – and then automatically deleted.   
If your application is successful, the data you sent will be stored in our data processing systems on the basis of Article 6 Paragraph 1 Letter b GDPR, as well as Article 88 GDPR in conjunction with Section 26 Paragraph 1 BDSG for the purpose of conducting the employment relationship.
If we are unable to make you a job offer, you reject a job offer or withdraw your application, we reserve the right to retain the data you have transmitted on the basis of our legitimate interests (Article 6 Paragraph 1 Letter f GDPR) for up to 6 months to be kept with us from the end of the application process (rejection or withdrawal of the application). The data will then be deleted and the postal application documents will be returned to you. Retention serves, in particular, as evidence in the event of a legal dispute. If it is apparent that the data will be required after the 6-month period has expired (e.g. due to an impending or pending legal dispute), it will only be erased if the purpose for further retention no longer applies.
Prolonged retention may also occur if you have given your consent (Article 6 Paragraph 1 Letter a GDPR) or if statutory storage obligations prevent its erasure.

Inclusion in the Applicant Pool

If we do not make you a job offer, it may be possible to include you in our applicant pool. If you are accepted, all documents and information from the application will be transferred to the applicant pool so that you can be contacted if there are suitable vacancies.
Inclusion in the applicant pool occurs exclusively on the basis of your express consent (Article 6 Paragraph 1 Letter a GDPR). Giving your consent is voluntary and has no connection to the ongoing application process and does not affect the chances of success of a new application. You can revoke your consent at any time, either in whole or in part, by sending an email to datenschutz@feig.de without affecting the legality of the processing carried out on the basis of the consent up to the point of revocation. In this case, we will irrevocably erase your data from the applicant pool within 4 weeks, provided there are no legal reasons for retention.
The data from the applicant pool will be irrevocably erased twelve months after the consent has been given.

10. Our Social Media appearances

Data processing through social networks

We maintain publicly available profiles in social networks. The individual social networks we use can be found below.

Social networks such as Facebook, Twitter etc. can generally analyze your user behavior comprehensively if you visit their website or a website with integrated social media content (e.g., like buttons or banner ads). When you visit our social media pages, numerous data protection-relevant processing operations are triggered. In detail:

If you are logged in to your social media account and visit our social media page, the operator of the social media portal can assign this visit to your user account. Under certain circumstances, your personal data may also be recorded if you are not logged in or do not have an account with the respective social media portal. In this case, this data is collected, for example, via cookies stored on your device or by recording your IP address.

Using the data collected in this way, the operators of the social media portals can create user profiles in which their preferences and interests are stored. This way you can see interest-based advertising inside and outside of your social media presence.
